How to Get Delegates working in Project Server 2013

 

So this article applies not only to Project Server 2013, but is also true of other releases of Project Server such as 2016-19 as well as Project Online.

So you might be wondering why I would need to use Delegates in the first place.

Admins tend to use to see what the user see’s in PWA so they can determine if it maybe a security setting or view needs tweaking. Other users might use to help a college out when on vacation or when the boss needs something done ASAP and the user is unavailable. What ever the reason might be lets walk-through how-to setup Delegation and then how to activate a delegate.

First lets look at the managing of Delegates.

Manage Delegates

You can use the Manage Delegates page in the Personal Settings section to create a new delegation.  This enables on user to work on behalf of another user, such as submitting a second user’s timesheet.

In order to create a new delegation, the user delegation feature must be enabled in Project Online  and you must have the required permissions.  

To create a delegation

  1. In Project Web App, click the Settings icon, and then click PWA Settings.
  2. In the Security section, click Manage Delegates.
  3. On the Manage Delegates page, click New.

  1. In the Set Delegation Period section, select the date range for the period in which the delegate will be able to manage work.

  1. In the Set Delegation section, select the delegate that you want to manage work during the specific period.

  1. In the Working on Behalf of section, select the user who requires a substitute.

  1. Click Save to save the permissions on the Online.

 

Now that we created the Delegate its time to act or turn on the delegation.

The Act as a Delegate page allows you to start or stop working on behalf of a user for which you are acting as a delegate.

To start a delegation session

  1. In Project Web App, click the Settings icon, and then click PWA Settings.
  2. In the Personal Settings section, click Act as a Delegate.
  3. On the Act as a Delegate page, in the Acting For column, select the user for which you want to start the delegation session.  Note that only users for which you are assigned as a delegate will be listed.
  4. In the ribbon, click Start Delegation Session.  A message box will display stating that you are currently acting as a delegate for the specific user.

To stop a delegation session

  1. In Project Web App, click the Settings icon, and then click PWA Settings.
  2. In the Personal Settings section, click Act as a Delegate.
  3. On the Act as a Delegate page, in the ribbon, click Stop Delegate Session. The message box that states that you are acting as a delegate will no longer display. A message will appear under the Acting For list stating that you are not currently acting as a delegate.

Its that easy to setup Delegates in Project Online or Project Server versions. It has pretty much stayed the same over the years.

One thing to remember in this process is that this will only work within PWA. Meaning that Project Sites or other SharePoint sites do not use delegations and hence you will be acting as yourself and not the user you are acting as.
